What does an IT consultancy for mid-sized companies do?

It translates a business problem into an IT decision and makes sure that decision gets implemented. Typical triggers are an ERP system whose support is running out, a Microsoft 365 environment in which nobody can find the current version of a file, or a digitalisation project that has had no owner for months.

The line between a consultancy and a systems integrator runs along the money. A systems integrator earns on hardware, licences and support, and therefore usually has a solution in its range before the question has been asked. Two rows fall outside the consulting pattern. The Academy is training and is licensed per user. The Trusted Leader is not consulting in the narrow sense, because it carries the decisions after the concept itself and is measured by the implementation.

What does IT consulting for mid-sized companies cost?

That depends mainly on the billing model, and the model should fit the task. An assessment, a software selection or a strategy workshop has a definable result and belongs in a fixed price. Ongoing project leadership or a time-boxed leadership role is billed in monthly or stage packages, because its scope depends on decisions that are only made during the project.

The most expensive mistake in the mid-market is a day-rate mandate for a task that could have been scoped. The client then carries the risk of every additional round of meetings. Which funding is available for IT consulting in Germany?

For the consulting share, the BAFA funding programme for management consulting, which under the current programme terms ends on 31 December 2026. The assessment basis is capped at €3,500. At 50 per cent in the western federal states, Bavaria included, that means a grant of at most €1,750; at 80 per cent in the eastern states, at most €2,800. For the Digital Check the company’s own share drops to €2,200 in the western states.

PASSION4IT is registered with BAFA as a consulting firm, consultant number 222542. The application has to be approved before the consulting starts. Anyone who signs first and asks about funding afterwards has lost the grant.

For implementing a solution, the Bavarian Digitalbonus is the better route: up to €7,500 in the Standard module and up to €30,000 in Plus, each covering up to 50 per cent of eligible costs, directive running until 31 December 2027. Only Bavarian businesses with fewer than 50 employees and at most €10 million turnover are eligible.

How do you recognise an IT consultancy that fits your business?

Does the consultancy fit the size of your business?

Ask for two references in your size bracket. A consultancy that usually serves groups with 5,000 employees often treats a company with 80 people as a small project, with the calendar priority to match.

What does the consultancy earn on besides its fee?

Licence commissions or a partner status with sales targets are legitimate. They belong on the table before a recommendation is made.

Who is on site after the concept?

When is IT consulting not worth it?

When the problem lies in day-to-day operations. If devices fail regularly or nobody installs the updates, you need a systems integrator with a support contract. A consultancy won’t solve that faster and costs more.

Nor is it worth it when the decision was made long ago and someone is only meant to confirm it. The business then pays for a report that won’t convince the workforce anyway.
